Fixed desk booking Panel

"The new functionality allows you to assign fixed workstations to one or more users."

PREMISE

  • This functionality allows you to assign a permanent or fixed desk to one or more users.
  • It is possible to assign a desk with a configurable start time and end time between 00:00 and 23:45.
These users will not have to book to use these desks.
  • Fixed desks may not be booked by other users during the hours assigned.
  • For now, it is NOT possible to configure check-in for these fixed resources.
It is possible to configure check-in for these fixed resources: NO check-in  or OPTIONAL check-in.
  • A desk can be assigned to 1 or more users, as long as the schedules do not match.
  • If a user has a fixed desk assigned, they can still make a "standard" desk booking for the same time they are assigned their fixed desk, since the fixed desk is an assignment and not a booking.
  • Check-in is configured from Modules -> Office Rules -> "Check-in options for fixed desks"  
  • You can choose either "No Check-in"  or "Optional Check-in".

GENERAL CONSIDERATIONS

  • Users view: New column available in the user list: "Fixed desk".
  • Users view: > 3 dots > "View fixed desk".
  • Status and Calendar view: It is affected in the same way as with fixed parking spaces, that is, the fixed desk is automatically released and bookings cannot be made on these resources depending on the work status, if this is configured.

ALLOCATING FIXED DESKS

  • Desks that have the "single booking" parameter enabled in the office rules may also be assigned to a user as a fixed desk (in the same way as any other desk) BUT in order for it to be booked in "hotdesk" mode by another user, the release must be for the whole day (from the start time to the end time of the assignment).
  • If a user is in a group of 1 single resource, and 1 single user (which previously acted as a fixed desk) and that resource is now assigned as a fixed desk but the administrator does not remove the resource from that group, when the user releases their fixed desk, it is only available to the people who belong to that group. Therefore you have to delete that group and add the resource to another existing group, or add users to that group.
  • Allocation:
  1. Assign a desk to a user individually:
  • Users > 3 dots > "Assign fixed desk".
  1. Assign a desk to more than one user in bulk:
  • Users > "Settings" > "Load Fixed desks".
  1. Unassign a desk:
  • Users > 3 dots > "View fixed desk" > Delete the fixed desk that we want to unassign.

BOOKINGS

Bookings are made in the "Bookings" view on the panel.
  • To be able to book a fixed desk from the admin panel, you need to first filter the slots that the resource is available.
  • A fixed desk, only if it is assigned to a single user, may be booked for other users when:
  1. The fixed desk has been manually released by the owner.
  2. The fixed desk has been automatically released if the calendars and status module is enabled.
  3. It is outside the time range assigned to the user.

RELEASES

It is not possible to release fixed desks from the admin panel.
  • The panel will cancel future releases and/or bookings (not in the past or present) in the event that:
  1. An additional user is assigned to a desk that until then had only one user assigned.
  2. It is disabled or set to "not visible".
  3. The assignment schedule is modified (it really forces you to unassign the fixed desk and reassign it with the new schedule).
  • The administrator must know, however, how the releases operate within the app / webapp, which is as follows:
  1. A desk that is assigned to more than one user can NEVER be assigned OR booked (even if there are free hours).
  2. The owner of a fixed desk may release the fixed desk once per day and within the assigned time slot in sections of 15 minutes, selecting the start and end time, complying with the following:
  • Release the entire schedule (from the start time to the end time of your assignment).
  • Release from the start time of the assignment up to an "x" hour.
  • Release from an "x" hour to the end time of the assignment.
It will be possible to release the fixed desk, even if the assignment start time has passed.  

For example, I have a fixed desk from 10:00 a.m. to 6:00 p.m., if it is now 11:00 a.m. I can still release from 10:00 a.m. to 2:00 p.m.

  • It is possible to cancel a release 1 minute before the start time of said release.
  • The release must be for the whole day (from the start time to the end time of the assignment) for fixed single booking desks.
  • To cancel a release, the user must go to the booking card and there cancel the releases one by one or cancel them all.
  • If there are no releases, the "Cancel All" button is not displayed.

REPORTS

  • You can only view the fixed desk releases in the following tabs:
  1. Reports > Releases
  2. Reports > Users > 3 dots > View fixed desk releases
  3. Reports > Resources > 3 dots > View releases
